Question for Art Librarians and Art Gallery Managers

This is for Art Librarians and Art Gallery managers:

As a new board member of the Northwest Art Center Board of Directors here at Minot State, 
I have been asked to discuss the following at our next board meeting:

1: Creation and management of loan policies for and the use of the permanent collection.
We have some works of art from the gallery "on loan" now in offices around campus. There 
  has been discussion that we also let them travel to businesses in the community, but we 
don't know if we want to go there. We have also sent traveling exhibits to other galleries 
on occasion

I have a few thoughts on this but I would welcome any and all suggestions from experienced 
art librarians, art gallery managers, and art museum or art gallery board members.
