Description
The Stanford University Libraries are seeking qualified candidates for the 
position of Special Collections Public Services and Manuscript Processing 
Librarian wherein effort is divided equally between heading the public 
services program and processing incoming manuscript collections. This 
position is double-posted at the Assistant Librarian [3P1] and Associate 
Librarian [3P2] levels. Compensation and rank will be based on relevant 
qualifications and experience. Preference will be given to applications 
received by July 15, 2005. The position will be posted until it is filled. 
The position is responsible to the Department Head of Special Collections & 
University Archives and the Principal Librarian for Manuscript Processing.

Librarian will serve as the head of the public services program and has 
general responsibility for management and administration of public service 
operations. As a manuscript processing librarian responsibilities will 
include arrangement and description of manuscript collections under the 
direction and supervision of the Special Collections Librarian for 
Manuscript Processing. Public Service responsibilities include: (1) 
management and administration of public service activities for the 
department as a whole, the development of public service policy and 
procedures, the coordination of reference service, and the training and 
deployment of department staff and student assistants. The public services 
program includes approximately 2.75 FTE (.50 FTE public services head; .75 
FTE public services manager; 1 FTE in hourly support for the public 
services desk roster; .25 FTE Instructional Services Librarian support; .25 
FTE support for reproduction services; and an annual allocation for student 
assistants. The program includes the (a) operation of the reading room; (b) 
daily paging and reshelving of materials; (c) interlibrary loan; (d) 
reproduction services; (e) management of incoming reference; (f) relations 
with curators and other library staff responsible for public service and 
reference; (g) revise and update public services policies and procedures 
manual; (h) statistics. (2) Outreach services: coordinates and works 
closely with the departmental instructional services librarian to provide 
an active instruction program and promote the use of collections by 
students, faculty and scholars through presentations, writings, and 
technology tools. Assists in developing and designing internet-based 
services to promote access to the division?s holdings. (3) Works with the 
Head of Special Collection and the library development office in securing 
extramural funds to expand the scope of the Public Services Program. (4) 
Collaborates with the departmental Instructional Services Librarian on the 
scheduling of classes and seminars. May provide bibliographic instruction 
classes on the uses of Special Collections materials. (5) Responsibility 
for development and maintenance of the department?s web page for public 
services. (6) Supervise the work of the Public Services Specialist (.75 
FTE) including setting priorities, scheduling, monitoring work flow, and 
staff development. (7) Serve as department representative to the Library 
Services Council. (8) Serves on the departmental exhibit and publications 
program as part of the overall outreach initiative. (9) Works with the 
departmental security office for implementing and monitoring policies and 
procedures to secure department collections and facilities. (10) Works with 
the Department Head and other department librarians on staff planning, 
resource allocation, services and programs, and general departmental 
development. Manuscript Processing Librarian responsibilities include the 
arrangement and description of manuscript collections. The incumbent will 
be responsible for the intellectual and physical arrangement and 
description of the manuscript collections, including determining the 
intellectual series and sub-series into which the collections will be 
subdivided. The responsibility for physically arranging the materials 
includes the responsibility for identifying items in need of conservation 
treatment and assisting in the execution of any appropriate treatment plan 
in consultation with the Manuscripts Processing Librarian and the Library 
Preservation Department staff as appropriate. The incumbent will also be 
responsible for identifying confidential materials in the collection and 
routinely consult with the Special Collections Librarian for Manuscripts 
Processing and the Head of the Department to follow established procedures 
to restrict access to these items. When appropriate, the incumbent will be 
responsible for weeding inappropriate materials for the collection and 
either destroying them or returning them to the donor of the collection, 
according to the agreement in the Deed of Gift/Sales Agreement and/or in 
consultation with the Special Collections Librarian for Manuscript 
Processing as appropriate. The incumbent will be responsible for creating 
appropriate access tools to collections including computerized databases, 
traditional finding aids, and electronic finding aids marked up in EAD 
according to established principles, consulting with the cognizant curator 
as appropriate, as well as creating RLIN AMC catalog records for archival 
and manuscript collections according to national standards (AACRII, APPM). 
The successful candidate for this position will demonstrate a reading 
knowledge of at least one other modern European language other than 
English. Skill in more than one additional modern European language is 
highly desired. Qualifications: An ALA-accredited MLS or equivalent 
archival certificate; or equivalent training and experience. A 
post-baccalaureate degree, preferably in the humanities or the social 
sciences, is highly desirable. Prefer three years of experience in Special 
Collections public service work. Familiarity with the needs of academic 
researchers; experience in a research library highly desirable. Prefer 
three years of applicable experience in manuscripts processing, web 
authoring, SGML markup, and/or database design. Demonstrated success in the 
timely and efficient processing of large and complex archival collections. 
Demonstrated ability in managing para-professional staff and coordinating 
resources. Up-to-date knowledge of RLIN AMC format and other relevant 
standards. Demonstrated success in database design. Knowledge of current 
technologies for the broadcast dissemination of information (e.g. the Web 
and related applications). Knowledge of one or more Western European 
languages, with a preference for Spanish or German. SUL/AIR Academic Staff
