Our library practice has been to make a detailed list of the books,
periodical runs, etc. that individuals donate, and to send a copy of the
list with our letter of acknowledgement. Most donations have no particular
financial value. Some of the items in a donation may be added while others
are set aside for a book sale.  It would speed procedures greatly if we
just counted the items and listed a summary in the letter, such as "10 hard
cover and 5 paperbound books." How do other libraries deal with this issue?

When we get donations, we count the total # of hardcover and paperback
books.  (It takes too much time to make a bibliographic/detailed list).  We
then request an "in-kind receipt" to be sent to the donor from the business
office stating the total # of hardcover and paperback books donated.  This
is for tax purposes.  From the library, we send a personal thank you letter
that is signed by the library Director.  Once this is completed, we can
catalog what we want to keep and discard the rest.

We do as you suggest, Charles.  The number of titles and/or periodical
issues is given in the letter of thanks.  The exception would be when the
giver asks for a detailed list because he/she is planning to get an
appraisal for income tax purposes.  We use a form donors are asked to fill
out to request a list.

In our community college library, we acknowledge gifts with a letter from
our Foundation Office.  The letter states the number of books (hardback
and paperback separately) and the broad subject areas.  This has worked

Here at UMBC, we just count the books in two groups, hardbacks and
paperbacks.  Only in special situations do we make a list.  Also, if a
particular book has an unusual value, we will list it. We simply don't
have the staff to list each book.  However, we do a more detailed

As a school librarian in a Catholic PK-8th grade school, we have the luxury of
a weekly parent bulletin. I simply list those families who have given gift
books or I list those who have chosen to participate in our annual book
sponsorship program. In this manner all who give are recognized in a vehicle
that reaches every household of my constituency group.
