*Job Summary*
San Jose State University’s Dr. Martin Luther King, Jr. Library is an

joint library facility with San Jose Public Library’s main branch, and a
member of the 23-campus California State University system, University
Library employees frequently work with multiple external stakeholders and
partners across a breadth of institutions. The Periodical and Shared Print
Specialist reports to the Director of Data and Resource Management and
receives work lead direction from the University Library’s Head of
Resources and Analytics.
The purpose of this position is to maintain and troubleshoot online access
to electronic periodicals, standing orders, and other electronic formats in
the integrated online library system (ILS), as well as oversee processing
of all University Library print periodicals and standing orders. The
Specialist enables electronic journal, streaming video and ebook access
within the ILS; performs database maintenance, runs reports on periodical
and standing order records in the ILS; orders new periodical and standing
order subscriptions; ensures seamless migration of print subscriptions into
electronic format in support of the Library’s digital initiatives;
maintains holdings and supports archival agreements in affiliated shared
print preservation programs; and coordinates occasional processing of
periodical acquisitions with City periodicals staff.
*Key Responsibilities*
- Maintains electronic journal access within the ILS, working with
online access and holdings.
- Consults with Electronic Resources Coordinator and vendors to ensure
electronic journal access is enabled for new subscriptions and to
troubleshoot e-journal access issues.
- Collaborates with the Chancellor’s Office Library Systems Specialist,
other CSU campuses and the Electronic Resources Coordinator to troubleshoot
and ensure accurate linking and holdings.
- Handles processing, ordering, cancelling, invoice preparation and
database maintenance for the Library’s periodical and standing order
(electronic and print) subscriptions.
- Supports archival agreements and maintains shared print periodical
holdings in the ILS and in OCLC Local Holdings institution codes for WEST
(Western Regional Storage Trust) and other affiliated shared print archives.
- Creates analytical reports regarding periodicals, standing orders and
shared print for Collection Development, Librarian Subject Liaisons, Head
of Resources and Analytics and others using the integrated library system.
- Monitors and maintains mediated acquisition, activation and database
maintenance for streaming videos.
- Assists with activating ebook portfolios, ensuring correct linking.
*Knowledge, Skills & Abilities*
- In depth knowledge of library technical services and the ability to
adapt work related procedures.
- Thorough knowledge of library methods, procedures and practices;
English grammar, business writing, punctuation and spelling; ability to
compose and appropriately format correspondence and reports.
- Working knowledge of the library’s collection; classification schemes,
including Library of Congress and Dewey decimal systems; on- line catalog;
and computer applications in the library; library terminology, general
bibliographic forms and structures.
- Thorough knowledge of external on-line databases, systems and
resources, including the ability to perform complex on-line searches.
- Thorough knowledge of the institution’s and library’s policies and
practices associated with the ethical use of and access to library and
on-line resources.
- Working knowledge of software applications; including, but not limited
to word processing, spreadsheet, database management, integrated online
library systems, Internet and e-mail; ability to learn PeopleSoft.
- Demonstrated expertise in using automated system(s), especially
subsystem(s) pertaining to the functional area, including database
maintenance.
- Ability to establish and maintain effective working relationships
within and outside the work group and work in a team environment.
*Required Qualifications*
- High school education or equivalent certification.
- Three years of related library and/or clerical experience or an
equivalent combination of experience and education.
*Preferred Qualifications*
- Two years’ of experience in an academic library setting
- Bachelor’s degree in library science.
- Experience using integrated library systems (ILS) such as Alma,
Sierra, OCLC WorldShare Mgmt. Svcs, or Koha.
- Experience performing library acquisition or procurement tasks,
especially within an ILS.
- Experience with subscription management for print and electronic
library resources.
- Experience with gathering and displaying statistical data/reports,
particularly from an ILS.
- Experience collaborating on projects with other colleagues, units,
libraries and/or organizations.
