I don’t see a reply yet on the Alma listserv, so posting here as well to my AcqNet colleagues – cross-posting in bold confidence. 😊

This is for the Alma subset out there about invoice data when loaded by Excel file:

I’m working on loading invoice data by spreadsheet (new method to us – most are EDI or manual). I have some questions about how some fields load, and grateful if any of you have worked this out. NB: I am still working on the data formatting as well.

Context: we have a large number of credit card orders that we reconcile in Alma by creating internal invoices using our campus financial system’s tracking number as invoice number. To date, we have done this manually (ugh). Looking to consolidate into loading by file based on a spreadsheet that the cardholders are preparing as documentation. I’ve created formulas to link that data to the Alma Excel template format. Most of the data gets loaded just fine.

Questions/Issues:

  1.  Good ol’ date fields: as much as I try to adjust the date formatting for Invoice Date/Voucher Date, I end up with the load date in those fields rather than the transaction date on my linked sheet. I’m playing with reformatting at the moment to reflect mm/dd/yyyy but still showing load date so far.  If anyone has run into similar and sorted it out, please let me know.
  2.  These are “internal copy” invoices for reconciliation, and while the Prepaid field is there in the Alma invoice spreadsheet template, I cannot add a column for that Internal Copy checkbox without causing the file to run into errors and not load. Again, if anyone has solved this, is using a different template, etc. glad to hear of it.

Seeing one Idea Exchange item re: adding Currency Exchange as a column to this invoice spreadsheet template, but otherwise not seeing related items in Idea Exchange.
