Hi all,
We have asked our purchase plan supplier (GOBI) to hold shipments, but that wasn't done until March 20, and the we all had to work from home starting March 23. I know some of our weekly shipments were already in the queue, and have been delivered to the library. We have a large space for events which is where journals and other shipments are being placed. I anticipate a big mess when we return (even though the building proctors assure me it's organized chaos) which will probably be May 18 at the earliest. I'm going to ask that the Event Hall be reserved for our use for at least a couple of weeks. Probably not a good time to hold events at the library anyway. We do have a large map table in our office suite that we can use for initial sorting, and adjacent shelving for organizing. That will probably be used for our print journals (of which we still have about 700 titles). I've already discussed this with my team and it will be 'all hands on deck' for sorting, receiving, checking in, and paying invoices. It's very close to the end of our fiscal year and we need to get the budget spent.
Good idea to gather as many book carts as possible. And then there are our monthly binding shipments. The last one was sent in March.
Hope all are well and safe!

Subject: RE: [ALCTS-acqnet] Plans for return
Hi Amy, back in the day when our library subscribed to much more print and more companies were open in late December, we used to close during Christmas break and campus mail held our materials, we used an all hands on deck to deal with the influx. Obviously that won't be possible in the beginning of the return to work.
I suggest you have lots of book trucks and tubs (perhaps your campus mail will leave you some when they deliver) so you can do a rough sort. Maybe you have one or two people looking at the packages and doing the initial sort based on what staff deal with what stuff.(in our case periodicals were divided alphabetically among 3 staff so we sorted based on those letters). Perhaps you put all your Casalini packages together, or GOBI, or OASIS or Harrassowitz. One person might then open all the Harrassowitz boxes and do the next level of sorting. You will also have to build in time to perform whatever sort of cleaning/disinfecting steps are recommended. Accept that this might not all be accomplished in one day. However if you can think of it as one pile, then ten piles, then 25 piles, etc. I think you could find a workable way to keep folks separated as long as the minimum number of people deal with the one pile.
Maybe others will have additional ideas to share. But places to sort material and move it somewhere else for more sorting will serve you well.
Good luck to all of us!

Subject: [ALCTS-acqnet] Plans for return
Hi,
I was wondering if anyone had started to develop plans for the day at least some of us might return to working on-site. How do you plan to address the backlogs that have formed?
We anticipate a large number of our serial issues to be waiting for us - we asked a lot of our major vendors to hold our shipments, but so many serials come directly from the publisher, that we are anticipating that those will still be waiting for us, as well as anything that shipped prior to the decision to leave campus, and arrived after our departure.
Does anyone have any thoughts or ideas they would be willing to share about how they plan to address large quantities of material, particularly if some staff remain off-site to continue some level of social distancing?
Thanks!
Amy
