Our Special Collections unit is in the same building. (There is only one library building.)
Regarding damaged items, we have been pretty lucky. The few items that we have had to return in recent years were books that were bound upside down, which requires only a photograph -- if that much.
If an item were to arrive damaged, we would definitely take pictures immediately. One time we did receive book that was damaged, but there was already a note from the USPS on the outside of the box that indicated damage occurred en route. That was all the evidence we needed to return the book.
It is bad if you're dealing with a rare book that is expensive, and/or cannot be readily replaced! That can easily be the case with Special Collections!

Thank you for the responses so far. If I may expand the question, for those of you who receive the materials in Acquisitions, are you housed in the same building? Also, do you have any procedures in place that would prove an item was received damaged, in the event the supplier denies knowledge of such damage existing before shipment, such as making a video of the item being unboxed?

We typically have the material ordered by and shipped to our Acquisitions unit as they handle all materials invoicing for the library and are the main point of contact for any shipping/customs broker questions. The items are then sent to our Metadata unit for processing and then on to SC.
