We used to need to do this from time to time, but recently the requirement has become annual for us as well. We've had a consultant come in to value our special collections, and have added an average of the change between valuations each year until the next. For our regular collections, we've looked at the number of items by type/subject area, and multiplied that times the average values found in the Bowker Annual (now the Library and Book Trade Almanac). I think Bowker provides an estimate by linear foot, as well as item.
I looked around for other options, since we don't subscribe anymore (sigh) and ILL for that data seems like a pain, and it looks like the Library of Congress provides average costs by subject area<http://loc.gov/preservation/emergprep/insurancevaluation.html>, both for LC and Dewey. I think this time we'll just get a report of our collection by call number from our catalog, and plug those numbers into the LC form.

I have to report the total number of items by format and their by piece value to the Risk Management Dept. annually. Do others do this as well? If so, how do you determine the value?
