Like most everyone we look through donations, make a quick judgement, and
sort into piles of keep/don't keep. Don't Keepers go to our in-house Sale
Shelves because we want to give our local students and faculty first dibs
on gift books. Eventually unwanted titles are sent to Better Books.

The keepers we enter the ISBNs into the Freeware JTacq
<http://www.jtdata.com/jtacq.html>.

Next, with the click of a button, we run a "get data" search which supplies
bibliographic data and cost/purchasing data to all the records.

Then, with the click of another button, we run a "holdings" search. JTacq
searches the holdings in our local catalog and tells us what we already
have or don't have. Because it also includes a title search during this
process, it also identifies when we have a different edition.

As you can imagine, this process cuts down enormously on the time and
energy it take to check through a gift collection.

One final step we are required to do by our administration ... whenever we
add a gift book to our collection, a 541 field is added to the bib record
indicating who the gift was from, the year it was added, and an approximate
value based on the data retrieved during the "get data" pull. This is a
time consuming task, but, it makes it possible to run an SQL report that
documents the value of the gift titles we have added during the year. This
process of adding the 541 fields can be automated in JTacq when the title
added is new to the collection, but for those titles that already have a
bib record in the catalog, we add the data manually using cut and paste.
