At F&M, we take all books people want to "gift" the library. Most of these
people are professors and College staff though we do get the occasional
alum or local person wanting to give us books. When giving them, all donors
sign a form telling us the number of books/media given (we always double
count later) and that they agree to the fact that the libs will either
place them in the collection or sell them at a book sale that benefits the
library. The donor is then sent a letter from the Collection Development
Librarian thanking them for their gift of X amount of books., etc. for
their tax purposes.
Then the real work begins.
-The CD Lib. goes thru the books and pulls those which he thinks he wants
to add to the collection.
-All books not wanted for the collection are then placed in correct subject
area in the holding room by a student worker. For example, all
fiction/literature together, all history together, politics/gov together,
etc. ready for a future book sale.
-For those books the CD Lib. may want to add to the collection, the
titles/books are searched in our catalog by a student worker. If the libs
own the books, the call number is written on a slip of paper and placed
standing up inside the book and placed on a truck. Once a number of gift
books which the libs owns make up the top of a truck (or if the gift is
small, then once all those books have been searched) the student places the
books in call number order and takes the truck of books into the stacks and
compares the lib's copy to the gift copy
-If the libs doesn't own the book, the book is placed on a different truck
for the CD Lib to again look at to decide whether or not to place in the
collection or sell at the book sale.. For all those gifts to be placed in
the collection, prior to going to cataloging first have the following info
entered on a Google Drive sheet - gift type - book, DVD, etc. - title,
author, publisher, date of publication, binding, name of donor, (for media
the info is a bit different) a note field and then a place to put in the
cost of the item were the Libs to purchase it currently. We usually use
Amazon, but also other sites for pricing. The student worker chooses the
pricing based on the condition of the book knowing if the book were to be
purchased we would always choose "new" or "like new" condition. We don't
use the cheapo $1.59 type price that is often seen on Amazon. These Google
sheets are kept monthly, the monthly totals of prices and amount of
books/media then carry over to the top of the next monthly page and we
carry over subtotals from one month to the next.
-At the end of the fiscal year the CD Lib then has the stats of how many
gifts (books and media) were added to the collection and what the total
value was of these gifts. For example, in FYx we added x-amount of books
and x-amount of media valued at $9,000.
Again, to do all of the above it takes a dedicated Collection Development
Librarian, my self and 1 or 2 very good student workers....but it works. I
work directly with the students, teaching the the ropes, unpacking gifts,
moving items to the subject shelves, answering question, sometimes
accompanying them into the stacks, and checking for hard to find prices.
