Does anyone know how to do this in SIRSI? Thanks so much Michael for letting us know that this is possible!

Hello folks,
Here's what we did to generate automated notifications from the catalog to a specific individual about specific books in Millennium. (We aren't on Sierra, but I assume it works the same way there.)
In the Millennium order record field for selector, we normally put the person's initials (for both the librarian and the faculty recommender if there is one). But one selector wanted to be notified about everything he ordered, so I would add a second selector field with his full email address. (It isn't necessary to have two selector fields, but we wanted to retain the initials separately.) It would have been a lot of extra typing to add that second field each time we created an order, so I just went in once a week, ran a list for his orders (i.e. his initials in the selector field), and then rapid updated with the new, additional selector field with his email address.
Then we set up our catalog to look, on a scheduled basis, for orders with valid-looking email addresses (i.e. XXX_at_YYY.ZZZ) in the selector field that have an order record CDATE filled in (i.e. the book has gone through cataloging) within a certain date range. I believe we did it weekly and set the range to be something like between 14 and 8 days ago, with the logic that it might take a few days from when the book was cataloged to when it would truly be ready to borrow (i.e. through processing and shelving). If you do it once a week, then it should only find a given record once while it is in that 14-8 day window. You don't have to use CDATE, of course--you can use any criteria to generate these results, such as RDATE, CAT DATE in the bib, etc.
You're probably wondering what we did to set up the catalog to perform this function, and this step was done by someone in our library systems office. It is a standard Millennium feature, though, so there should be an explanation of how to do it in Innovative's manual or available directly from them. I'm poking through the online manual now, and I find a page under Millennium Acquisitions for "Using Email Reminders in Order Records," which says it uses a tickler program that runs a chron job. That's probably it. If you can't find it, let me know and I will ask my colleagues. (Or, perhaps someone from Innovative lurks on this list and will chime in!)
And so each week, this selector would get an email with a list of new titles which had been generated automatically from this process. The only step I had to do throughout the whole process was to add the additional selector field with his email address, and as I said I did this using create lists and rapid update so it was fairly quick each week.
We also produce automated lists of new acquisitions via Millennium which anyone can view, but they aren't personalized. Here is the page where a patron can create the search:

I hope this answer is helpful!

Hi Mary,
If you use Sierra/Millennium, there is a way to populate the order record with an email address and then set it up to send an automatic email to the person once the book is cataloged. I'm not sure if another ILS would be able to do the same thing. I have done this for one of my selectors, and I'd be happy to share the process with you. (As would Innovative, I'm sure.)

Hi Everyone,
We are taking a second look at our acquisitions workflow after making some major changes over the past two years to streamline ordering. Most of our orders are generated by faculty sending us Choice cards noted with their own recommendations for purchase. We purchase books based upon those recommendations (based upon our parameters and fund availability). Once the books are in and cataloged, we send back the Choice card with the call numbers on the back.
We are no longer subscribing to physical Choice cards, and I'm not a huge fan of this method anyway as the faculty are notified as long as two months after they submit the cards (occasionally longer). This method also doesn't work when purchasing e-books. Does anyone have alternative methods to recommend for faculty notification? Does anyone notify faculty immediately upon ordering, with the caveat that the "on the shelf" date is approximately a month to 6 weeks?
Thanks so much,
Mary
