We make a note in the back end of the MARC record (not visible on the patron side) if we purchase a film with screening rights. If someone on campus wants to use a library DVD for a screening, they usually contact us first to ask whether they are allowed and we can look it up for them.

I am curious how others are tracking license agreements for DVDs or other physical media purchases. Do you put a note in the MARC record? Do you keep a file for license agreements? Do you have a system for checking this when users request to show a film?
