We have been doing DDA directly with EBL since 2009. We do have short term loans which, after three, triggers purchases.

When setting this up our organisation's Finance Department deemed the purchases to have a depreciation similar to print books, so were to be charged to our book funds as set up in Millennium. These relate to our teaching subject areas that also assists in tracking expenditure to each school.

The short term loans were equated to interlibrary loan expenditure. A separate fund code was set up under the interlibrary loan fund in Millennium so we are able to track STL expenditure separately from interlibrary loan although they are under the same general fund.

We also use EBL's admin module to gather usage data, and await with interest the full implications of Proquest's purchase and what changes that may bring.

Hope this is clear and helpful.

Like Jaimie at UBC, we have been doing a DDA program using EBL and YBP. We are not doing short term loans, only triggered purchases. We track basic expenditures in Millennium via a single "DDA fund" we set up, and have used some of YBP's expenditure reports as well. Beyond that, we've been using EBL's LibCentral's rather robust administrative module to gather additional usage and expenditure data. As to the acquisition of EBL by ProQuest and ebrary -- the combined service & platform is still in the works, so you won't yet find those LibCentral functions in ebrary's admin module yet.

Hi,
We have had PDA for over 2 years now, and previously had a single fund for loans and purchases. However, this year we split the short term loans out so we would have a better sense (with our own reporting) on how much we were spending on loans vs purchases. Up until this fiscal, that was manually tracked via a spreadsheet when we paid the invoices.

Subject: [ACQNET-L] PDA expense tracking

Hi,

We (UMass Amherst ) are wondering how others are tracking ebrary or EBL Patron Driven Acquisitions (PDA) expenses. We've recently set up a deposit account with ebrary (via YBP) for a PDA account. So far we've not had any short term loan or purchase activity, but when we do we expect to take advantage of ebrary's reporting mechanisms. Locally we've not yet set up specific budgets reflecting the PDA accounting and we're wondering if we might want to. We used a catch-all fund called "one-time money" to prime the deposit.

Anyway, if there are others in Acqnet-l land doing a PDA program, I'd be interested in how you're tracking expenses and how you're reporting such to your administration and to the folks who do selection and collection development. Thanks.

~Scott
