Hi, Scott
I have several PDA profiles set up in ebrary, each for a specific academic discipline/department, and I have set up fund codes for each of the departments, as we do for print purchases. Any triggered purchases come out of one deposit
account, but I can track specific expenditures by department by means of the fund codes. I give each one a limit
I tried to do the same thing with EBSCO's ECM, but we use ECM more for direct purchases, rather than for PDA, and -- sadly! -- EBSCO has not yet set up ECM to use individual fund codes for direct purchases. You can use individual fund codes for PDA purchases in ECM, but I really need them to make the fund codes interactive for direct purchases -- such as the subject sets and for individual title purchases.
I hope that helps. If you have any follow-up questions, I'll be glad to try to explain better -- or in more detail.

Subject: [ACQNET-L] PDA expense tracking
Hi,
We (UMass Amherst ) are wondering how others are tracking ebrary or EBL Patron Driven Acquisitions (PDA) expenses. We’ve recently set up a deposit account with ebrary (via YBP) for a PDA account. So far we’ve not had any short term loan or purchase activity, but when we do we expect to take advantage of ebrary’s reporting mechanisms. Locally we’ve not yet set up specific budgets reflecting the PDA accounting and we’re wondering if we might want to. We used a catch-all fund called “one-time money” to prime the deposit.
Anyway, if there are others in Acqnet-l land doing a PDA program, I’d be interested in how you’re tracking expenses and how you’re reporting such to your administration and to the folks who do selection and collection development. Thanks.
~Scott
