We’ve eliminated all but a VERY few (specifically, Harlequin series and Russian and Ukrainian language titles).
Instead we’ve gone to approval CARTS from our main vendor. We’re notified of new editions/titles in series and can decide if we want them at all and, if so, how many we want for our 28 branch system.
We then process the order cart as a normal firm order.
We wanted more control over the ordering and receipt, and we’ve gotten it. We’re pretty happy with the result. We’ve been working this way for about 3 years.

One way to handle this is to include series in your approval plan rather than having to firm order title-by-title. Not all series can be handled this way, but many can. Check with your book vendor.

Several years ago we canceled all standing orders for Commentary Series. My predecessor set up a notebook of "In House Standing Orders" with a sheet for each series, organized by publisher. It's easy for commentaries, because we just mark off which biblical book we've received. I go through the notebook once a quarter to check for new releases/editions. I'd love to find a way to make this more streamlined or electronic, but it's worked pretty well so far. I could send you a PDF of a blank form, if you'd like.
I have a separate notebook for the very few other things that we need each edition of. It's just a list, and I check this twice a year.
It works pretty well. We occasionally have a patron ask for something that's published but that I haven't ordered yet, but publishers are often behind in sending out 'real' standing orders, so I don't think this is just a problem for us. It takes me a half-day or so to go through every time I check, but I'd have to stay on top of the Standing Orders anyway. And this way I can find the best price for each book, not just pay a set 30% off, or whatever.
