At Stanford we have developed a tool for loading pdfs into our digital archive. Its drawback is that it is good only for the equivalent of single volume monographs. No serials, multivolume set, or books saved as separate pdfs for each chapter. We are willing to share. If you want to know more about the EEMs (Everyday Electronic Materials) tool, you can contact me at swp_at_stanford.edu. I can send you more detail or put you in contact with one of the developers.

It must be the week for pdf purchases, as we, too, are getting a plethora of these requests.

I do not catalog these, but here's an example from our OPAC. It's a freely available item, not a purchase. And I believe it was a downloaded OCLC MARC record.

We recently encountered a situation where a faculty member requested that we purchase 4 print reference titles that included PDF downloads. Typically we only purchase electronic resources that are hosted on a vendor’s platform as we don’t have the server space to store these materials locally; however our IT department approved loading these PDF files onto our server since they were relatively small. 

The problem that we are facing now is that our Cataloging department doesn’t know how to catalog these materials. There are no records for these items in OCLC, and it looks like our Catalogers will have to create unique records in-house. I was wondering if anyone else has experience with purchasing PDFs, or if you have a policy about purchasing this type of material. If you have purchased them, how do you catalog them?
