Well, first of all, I should explain that I was a book vendor and serials
agent for thirty years before going back to get my MLS, and I am now
director of a small public library. I know that side of the business fairly
well.

 

Having said that, unless you purchase very few print standing orders (and
indeed many libraries are transitioning what's left of their reference
collections to electronic resources), it's actually pretty foolish to cancel
with vendors and go direct. Why?

 

Well, if you were with the wrong vendors, and they were charging too much,
that's another issue. Never, ever place standing orders and continuations
with journal agents. You'll pay a service charge above list price.

 

But, if you have a decent list, a creditable book vendor will give you a
discount better than you'll get by going direct, and you'll have the
benefits of (a) fewer invoices, i.e., transactional costs per title; (b)
consolidated reporting and management data; and (3) a single source for
customer service. How many publishers send you "renewal notices" months or
years before your subscriptions actually expire? Get away from this. It's a
false economy to think you can do better by going direct. I saved my library
customers millions, and I'm not exaggerating.

 

The advent of Amazon and other e-tailers have devastated independent
bookstores, traditional library vendors, and the supply chain foundations of
an industry that matured over decades. To divest of this without pause,
without consideration is simply irresponsible.

We have stopped most of our standing orders for two reasons. First we are in
the process of migrating to the Evergreen Library System, and special
provisions for standing orders have not been developed yet in the
Acquisitions module. Second, we are shifting more and more to ebooks titles
when they are available. What we were finding was that ebooks were being
purchase for titles that were also being received in print because of our
standing orders. 

We do still have a few standing orders; 90% of which are with international
publishers that do not yet provide any titles electronically. To help us
track the remaining few, we have turned to the open source CORAL Electronic
Resources Management System. It isn't being used as part of the ordering or
payment process, but at least it provides a place to turn to find out why a
title has arrived in the mail.

with. We are finding that while it does take a careful checking to make sure
each edition has been ordered, we have saved money doing it this way.

I have created a spreadsheet for title with a field for expected publication
date. I check on each title around that time, and I either order it if it is
available, or change the date if the publication date has changed.

Also, I am the only one who orders books for my institution, so I don't have
to worry about duplication of orders.

ordering them on an edition-by-edition basis? I'd be interested to hear any
