About the Position

Reporting to the University Library’s Technical Services Manager, the 
University

Library Data Management Coordinator provides library services to San 
Jose State

University and works respectfully and cooperatively with employees of 
the Dr. Martin

Luther King, Jr. Library. King Library is a unique collaboration between 
the City of

San José and the San José State University.

The purpose of this position is to provide leadership and planning for the

management of data sets of records that provide access to the Library’s 
vast and

complex collection of print and electronic resources. The Data Management

Coordinator provides high-level expertise and leadership support to Library

Administration in formulating, developing, and modifying library 
policies and

procedures for the management of statistical data and coordination of 
electronic and

print resource record sets. The incumbent creates Millennium statistical 
reports and

provides data analysis of the reports as well as working collaboratively 
with library

departments to organize and ensure ongoing access to electronic resource 
records.



Responsibilities include, but may not be limited to:

- Provides high-level administrative and leadership support to Library

Administration in formulating, developing, and modifying library 
policies and

procedures for the management of electronic resource record sets.

- Coordinates the ongoing loading and maintenance of ebook records in the

Integrated Online Library System.

- Ensures the integrity of the Integrated Online Library System for 
record loads

and maintenance projects.

- Plans and tests for the successful completion of data file transfers 
and batch

record loads.

- Coordinates the transfer of bibliographic access records for digitized 
material

from CONTENTdm to OCLC and the Integrated Online Library System.

- Coordinates the harvesting of records from CONTENTdm and Digital

Commons using Open Archives Initiative – Protocol for Metadata Harvesting.

- Creates Millennium statistical reports for the Head of Collection 
Development,

Liaison Librarians, Library Administration, and various national reporting

agencies.

- Provides leadership, training and expertise to Unit staff for the 
Acquisitions,

Cataloging, Serials, and Electronic Resources Management modules of the

Millennium ILS.

- Participates on library committees and taskforces, especially those 
concerned

with Technical Services.



Education and Experience

High school education or equivalent, and three years progressively 
responsible

related library experience. Any combination of education and experience that

provides the required knowledge and abilities may be considered.

Preferred Qualifications

- Experience with an integrated library system, such as Millennium or 
Voyager.

- Experience creating and analyzing statistical reports.

- Experience in Library Digital Services.

- Experience with MARC format in bibliographic records.

- Bachelor’s degree.

Knowledge, Skills & Abilities

- Comprehensive and in-depth knowledge of library operations in Technical

Services and their relation to overall library operations.

- Comprehensive and in-depth knowledge of the principles, policies, 
practices,

and procedures of Technical Services and their relationship to overall 
library

functions and other units as well as the ability to apply this expertise and

judgment to address unique problems.

- Thorough knowledge of the library’s collection; classification schemes,

including Library of Congress and Dewey decimal systems; on-line catalog;

and computer applications in the library; library terminology, general

bibliographic forms and structures.

- Comprehensive knowledge of external online databases, systems, resources,

and trends pertaining to the assigned functional area, including 
expertise in

searching strategies.

- Ability to participate in long range planning through the collection,

organization, analysis, and interpretation of data and information.

- Working knowledge of software applications such as: word processing,

spreadsheet, database management, integrated online library systems,

Internet and e-mail.

- Ability to be flexible and adapt quickly to new assignments and work under

pressure.

- Ability to interpret, modify, and verify library records within 
established rules

and procedures; understand and operate library computer systems and use

the resulting output.

- Ability to maintain confidentiality and appropriately handle sensitive

communications with employees and external agencies.

- Must possess strong oral communication skills; excellent customer service

and public relations skills.
