When we first started using our Corporate Account, we also had some trouble
with payments being "late." However, in our case, the problem was not
necessarily that the university was taking too long to send the check, but
that Amazon was unable to match the check up with the right account.
Multiple departments at the university apparently use Amazon, and unless the
check is sent with the payment stub attached to the monthly bill, Amazon
didn't know to which department's account to apply the check. To avoid this
problem, I specifically request that our payment stubs are enclosed with the
checks, and we've had no problems since.
Another challenge we had (and which helped create the situation above) is
that we have to make up an invoice number for each monthly bill in order to
process it. Amazon has separate invoice numbers for each shipment, but that
didn't help us since we're processing the monthly bill (covering multiple
shipments) as one invoice. So the check referenced an internal (not Amazon)
invoice number, making it even more difficult for Amazon to apply the check
correctly. However, including the payment stub with the check avoids this
problem, too.
Once we got the kinks (and no fault of Amazon's) ironed out, our billing has
been essentially problem-free.
