Open selection tool

We are changing our faculty request system from paper to online, opening the monograph request process to all faculty and eliminating several approval steps prior to submitting orders using the III selection tool.

Formerly, faculty would complete an order form, print it out and give it to their departmental rep for approval.  The rep would send the approved requests to the library liaison, who would also approve and give to acquisitions staff to be ordered.  This process required tracking of paper forms and approval by 2 faculty, and we found that few orders were actually denied.

In an effort to streamline and expedite monograph requesting, we are implementing III's selection module this academic year, and opening ordering to all faculty via a library log-in.

Some departmental reps have expressed a need to track what is being ordered and how their allocation is being spent; others may welcome open requesting as one less administrative task.  We have discussed generating review files of orders by fund and date, and emailing reports to the department reps with a list of titles ordered, cost, requestor, and remaining allocation balance as a way of keeping them involved and providing an opportunity for input, though by the time they get the reports, the orders will have been submitted.

I'd like to hear from collection management folks who have used this process.  How do you (or do you) involve departmental reps? What is the role of library liaisons in the process?  What problems did you encounter?  Would you be willing to share your procedures?
