Subject: RE - Budget and fund structure realignment
I am also interested in this issue. We are a 3-campus, Innovative
library and our budget structure is built around material type and
collection location, i.e. Ref books @ campus1, current periodicals @
campus2, AV @ campus 3, etc. The public services dept has asked for the
structure to change to a focus on disciplines instead, and have provided
a 3-page list of discipline codes. I can see where this might be
feasible in a single library unit situation, but have found no examples
of libraries using a discipline-based structure in a multi-unit system
(not the same as multiple accounting units, but close). Another
challenge is that the state library report is based on material type, so
I need to somehow retain the ability to generate reports based on
material type.
I'd be interested to hear from anyone who is using this type of
structure and how you are able to keep track of everything. I'm also
concerned how having our fund codes quadruple, and that's a modest
guestimate, is going to impact our productivity.
Thank you, in advance,
Laverne Jenkins,

Subject: Budget and fund structure realignment
We are currently examining our budget structure at the University of
Texas at Dallas Libraries. We use Ex Libris' Voyager as our ILS system.
We are considering re-doing our fund structure in order to re-align
our budget structure.
Before we attempt to re-do our funding structure, I am interested in
finding out how other academic libraries have set up their fund and/or
budget structures in order to meet the ACRL statistical requirements.
For example, how do you count the number of electronic resources,
including aggregator databases? Do you divide the cost by school,
discipline, or other means?
Does your library count titles and/or volumes manually or automatically?
If it is done automatically, could you share your Voyager report code
with us?
Please reply off-list by responding to my email address, and I will be
sure to summarize the results for the listserv if others are interested.
Thank you for your assistance in this matter.
