Subject: RE - PO # on the inside of serials (3 replies)
PO's written on the serial? That's preposterous! Verification of
receipt happens once the item is received and checked into the
acquisitions system. We call it a Goods Receipt, and we only goods
receive an item when it matches the PO exactly. We send back shipments
if the PO number isn't on the invoice because we have a notice on our
PO's saying that "vendor must include PO number on invoice".
The very thought of all that staff time wasted putting the PO's on the
serials! Someone should verify with your auditors whether it is really
necessary.

For what it's worth...
as a serial acquisitions librarian, we recorded the p.o. number in the
volume for monographs in series (called cat-sep series then), to
distinguish them from an additional copy that might be received through
book acquisitions (ordered by author and title without info on the
series and not caught in a de-duping process, i.e. post receipt title
search.) This was more significant in the pre-automated environment,
where manual searching of the card catalog and the order file were
separate tasks. Order records in the OPAC and better prepublication
information online may have rendered this safeguard obsolete.
