Subject: RE - ISBNs in electronic orders

We submit electronic orders in BISAC format to one of our vendors. We
have a simple solution to the ISBN problem:

1. We list only one ISBN in our bibliographic records, that of the
desired (or available) version, or first volume.
2. When the item ordered consists of multiple parts (i.e. several
volumes, book + CDROM, etc.) and each part has a different ISBN, we
prepare one bibliographic record, but separate order forms (linked to
the same bibliographic record) for each part, indicating the part no.
and its ISBN on each order form. We can easily copy/duplicate order
forms
in our Ex Libris system, so it is not much extra work. That way the
vendor
receives a separate order for each part with its correct ISBN and does
not
require any editing. We find this is also helpful when reconciling our
records in cases of error in supply of individual volumes or parts. We
can
deal with the order for each part separately if there is a need to
return,
obtain credit, etc.

I hope this helps.
Regards,
Cecilia

At KSU we do EDI ordering with Blackwells where we download the
Blackwell brief records, load them into Voyager (our ILS) and
automatically create the PO and then FTP this PO back to Blackwell.
We then use Promptcat to overlay the brief records with OCLC records
when the orders come in. Can users order off the YBP site directly in
a similar fashion?

I am familiar with your problem, but in the print environment. POs
printed off the Voyager system pull the first ISBN on the MARC record
and
put it on the PO...so that we have to resequence them if the "wrong"
ISBN
is on the top.

We're a small academic library, and we've played around with this
issue.

Here's what I would do:
If ordering a multi-volume set with an ISBN for the set, I would
leave that one in and strip out any others, send the order by email.

If ordering a multi-vol set with no ISBN for the whole set, and I want
to email it, I would strip out all ISBN's and do a separate line item
in the purchase order for each volume, putting a different ISBN for each
volume in the order record. (You get more than about 3 or 4 volumes and
this is a pain.) This does require someone editing the record.

One way to get around this issue is to order the set on the vendor's
website, which I have done to make sure I get the right volumes. That
way it doesn't matter what's in the Marc record because it's not being
sent to the vendor by email. Or order by phone. I also do online
ordering when I only need one particular volume of a set, as in a
replacement, and I want to make sure I get the right one. Some vendors
even have note fields where I can clarify what I want, such as "order
vol.3 only."

Now, the other part of this that makes or breaks it is: how is it
invoiced. If the set comes in as a whole, I can do just one line item on
the PO and the invoice. Best scenario.

BUT, if the volumes come in gradually, then I have to do each one
separately on the PO and the invoice. I hate this.

We do have our acquisitions staff modify the LCMarc records. Actually,
in a case like this, I would handle it myself. Sometimes I don't even
"place" the PO in the system until I see if it's going to come in all
together; I'll set up the PO as if it's one set and will change it later
if I see that they're coming in individually.(Once it's "placed," I
can't change it.)

So basically for me, the best thing is to be able to get one ISBN for
the whole set AND have it all come in at one time so I can invoice it as
one item. Otherwise, I just avoid the issue and order it by
phone/online/fax - anything to avoid sending the order by email. I have
the luxury of being in a small library so doing a "runaround" is not a
big deal for me. Will be interesting to see if larger libraries respond.

We find resequencing both time-consuming and inefficient and would love
to see a solution.

We use the III character base and Passport. When I process a request
for paperback, I switch the ISBNs in the OCLC record by changing the
numbering of the two lines. This can be done along with the inserting
of the ordering string by clicking on the line numbers of the ISBNs,
switching them and then using the ALT-10 to record all changes at the
same time before the record is exported. If there are multiple volumes
I insert a blank ISBN line in the bib record and put the correct vol.
and ISBN in the order record as a note to the vendor ordering each vol.
on a separate purchase order in case they do not arrive in the same
shipment. From what I understand, when there is no ISBN on the order,
it must be processed manually. We have been ordering increasing numbers
of paperbacks and it becomes routine.
