Blackwell Book Services automatically fills our orders with a
paperback if the hard cover is not available. The instruction
is simply a part of our profile.

We have this arrangement with Academic Book Center.
Their address is 5600 N.E. Hassalo Street, Portland,
OR 97213-3699. Phone numbers are 800-547-7704, 503-287-6657
and FAX 503-284-8859. Academic has been bought out by Blackwell's
Book Service. The two have not yet merged operations but
we are hoping Academic's good service doesn't go away.

I am the Monographs Acquisitions Assistant at Harvard Univ.
Grad School of Education's Gutman Library. As a matter of
course, our HOLLIS (Harvard Online blah-blah computer) system
generates-- by my inputting either of 2 "exploding" codes on
all my purchase orders (sent to vendors and publishers alike)
either of these directives: "Please send hard cover; if
unavailable, send paperback" or vice versa. So far, we haven't had a
problem with their comprehending this, or even going along with it!
Also our system imprints whatever ISBN is available from the bib
record.
We deal mostly with Yankee Book Peddler, 999 Maple St.,
Contoocook, NH 03229. And we do get cloth when ordered and
pbk. when ordered. So far, no problems to speak of. They have
excellent Customer Service reps.
Also, for your information, Yankee has an out of print
search service, which I only recently started trying. If a book
ordered has gone O/P, Yankee will alert us so we can can decide
whether to cancel or pursue. They "outsource to ALibris."
I also have dealt with Amazon and Barnes & Noble online for out
of print searches, and their "hit rate" and pricing
have been very good. We had been limping along with Book Look for
years, but its speed and prices can't compare with the above two others.

We use two vendors who substitute paperback for cloth and vice
versa. When we set up our profile with each vendor, we made that
choice so we would actually receive the book whether in paper
or cloth.

I don't know what vendors you are using, but our vendor
does substitute paper for hard if we request it.
