In addition, ALCTS provides forums for discussion, research and development, and opportunities for learning in all of these areas. (LITA) Technology for Acquisitions * A new focus group concerned with innovative uses of technology for document delivery. ************************************************************************** Appendix C POSSIBLE PUBLICATIONS SCENARIO All publications except standards and guidelines are covered by this scenario. 1. FOCUS GROUP (FG) or TASK FORCE (TF) develops a publication idea. 2. FG/TF takes idea to section executive committee (or to the ALCTS Board of Directors for association level units). 3. If the idea is approved, the executive committee or Board of Directors appoints a TASK FORCE to complete the work and informs the Publications Committee(PC) of the proposed publication(s). 4. The PC makes sure that no other unit is planning a similar publication. 5. The TF completes the manuscript and submits it to the PC for review. 6. The PC reviews and approves the final publication or returns the publication to the TF for further work. 7. If approved by the PC, the recommendation to publish is sent to the Board of Directors with a recommended publication path. Recommended publication paths include but are not limited to : ALA Publishing, ALCTS, outside of ALA. The Board of Directors might also refer the publication back to the TF. POSSIBLE STANDARDS/GUIDELINES DEVELOPMENT SCENARIO 1. Section Executive Commitee (EC) or ALCTS Board of Directors (BD) determines that a new standard/guideline needs to be written or that an existing one needs to be revised. 2. The EC/BD appoints a task force to complete the work and informs the Publications Committee(PC) of the intent to publish. 3. The PC reviews the potential publication to determine that no other association unit is developing a similar standard or guideline. 4. The TF prepares a draft and holds hearings in order to receive appropriate and adequate member input. 5. The TF revises the manuscript and submits is to the PC. 6. The PC recommends publication to the BD with a recommended publishing path or returns the publication to the TF for further work if deemed necessary. ************************************************************************** Appendix D SCENARIO FOR IMPLEMENTING MAJOR PROGRAMS, INSTITUTES & WORKSHOPS Idea/Concept Approval 1. Ideas surface from within any ALCTS unit. 2. Six to twelve months prior to the proposed date of implementation, the proposing unit submits to the Professional Development Committee (PDC) a proposal that includes the following: * Concept description * Objectives of the event * Proposed list of speakers * Treatment of the topic * Recommendation on planning committee members and possible co-sponsors. NOTE: Lead time required will vary depending upon the complexity of the event proposed. Conference programming may only require 6 months while multi-day institute/workshop planning will require at least 12 months. 3. The PDC considers the proposal and either approves or returns to the proposing unit for further work or rejection. 4. If approved, the PDC allocates an event budget from its operating budget or refers to ALCTS Budget and Finance Committee if additional funds are required. Event Planning and Presentation 1. PDC appoints a task force to complete event planning in conjunction with ALCTS staff. 2. In conjunction with ALCTS staff, PDC reserves an appropriate time slot for conference programs. 3. Task force develops more program detail depending upon the nature of the event. 4. ALCTS staff contact all speakers, make all facility arrangements, and handle all publicity. 5. Task force prepares any needed background material, handouts, etc. FOCUS GROUP PROGRAM PLANNING (MINOR PROGRAMS) Idea/Concept Approval Focus groups desiring to present minor conference programs requiring no association resources except for a room and microphones need not participate in a program approval process. If additional resources are required, the focus group must seek approval through the process described above. Program Planning and Implementation 1. The focus group or a subcommittee it appoints handles all program planning including contacting speakers and publicity. 2. The focus group sends a description of its program topic to the PDC for scheduling. The timing for this will be determined by the ALCTS staff depending upon the time tables established by ALA Conference Arrangements.
