We do keep them on reserve. We only update them if they are used again. We don't enter standing orders for supplements. These suggestions come to Acquisitions where we search them and, if appropriate to our collections, order them forthwith (notifying selectors after the fact). We also have an electronic form on our Acquisitions Division homepage just for the Libraries' seventy book selectors to send us order requests (which come to the electronic mailbox we established for all kinds of electronic order requests. Subject: RE: Order Forms on Library Website Order forms for books and videos have been available on Humboldt State's Library website for over a year (library.humboldt.edu). Occasionally I remind faculty that the forms are there. However, only two teaching faculty and one librarian make use of the book order form thus far, although those people are fairly assiduous. This can be quite a nice service for a disabled user, I'll note. Use of the forms has been limited to authorized users since last spring when I received an order request from France, from a person I was unable to identify as a campus affiliate. Requests are cleared with selectors before processing, and at present all requests come to me as Acquisitions Librarian. The form prompts the requestor for bibliographic information including ISBN and price, but if it is incomplete I will fill this in before sending on to the selector, particularly price. Subject: Prepayments at End of Fiscal Year Are any libraries sending large prepayments to vendors towards the end of a fiscal year? If these prepayments are to cover future firm orders, how are you working out individual accounting procedures with the automated system the next fiscal year? I'd really appreciate personal replies, especially if you use Innovative, so I can ask some follow-up questions. I would be glad, however, to summarize general responses for the list. Thank you. Automation) Subject: Discounts/List Price On various occasions, I have been asked to generate reports of vendor discounts. The discount would be based on the difference between the list and net prices. In our system (NOTIS) and in most other systems I have seen, there is no 'List Price' field. List price is assumed to be the price entered by the library at the time the item was ordered. I'm uncomfortable assuming that this price is the true list price since prices may change over time or be inadequately researched. So, I am wondering if anyone has done a study comparing their estimated prices to the actual list prices on the vendor invoice. Were there significant differences or do you feel it would be safe to rely on the originally keyed price? (I'd be interested in looking at this myself but I'm not in a library and don't have access to vendor invoices.) Or, is anyone actually changing the estimated price to the price on the invoice in order to calculate average discounts from their vendors? Subject: Electronic Databases in Academic Departments I'm interested in finding out if any libraries purchase subject specific databases for academic departments which are housed in the departments. Examples are Georef, not networked, housed in the Geology building, Compustat, not networked, housed in the College of Business. Do your acquisitions policies address such a situation where a department has almost exclusive use of a data base purchased with library funds.
