I am especially interested in tracking purchases, prices, discounts, vendor information, academic departments,etc. What software packages are you using to track acquisitions at your school that you would recommend? Have you developed anything that runs on Oracle (relational database system)? We have BibBase, but before I pursue networking our PCs, I want to investigate other options, esp. something that would run on our DEC Alpha under Oracle. I should add we are running multiLIS automation package, and our administrative side of the house is using BANNER. Thanks for your input. Our library is examining the process that we use for ordering books. Currently we have bibliographers fill out forms, then import records from OCLC into our Innopac to create order records. My assignment (from the group that is examining the process) is to find out how other libraries get records into Innopac. We are especially interested in: What is the process? (Workflow questions)- 1) how the information (on what they want ordered) gets from the bibliographer to the Acquisitions department 2) who chooses the record for importing? Who imports it (or who keys it in)? 3) when is the duplicate checking done and how successful is it? (The algorithm that our system uses for dup checking gives us false positives for about 70% of all orders; necessitating a manual check on most orders.) 4) how often do you get orders for books that don't exist? (either wrong title, author, etc. or out-of-print) What does it cost? (Is there a per-use charge of the bibliographic utility?) In the course of the work, I had to read a lot about the provisions of the Financial Accounting Standards Board Statements 116 and 117: Accounting for Contributions Received and Contributions Made and Financial Statements of Not-for-Profit Organizations, which became effective in 1995. One of the provisions caught my attention, not on ALA's behalf, but in light of memorial funds and similar gifts that many libraries have. The new policy classifies gifts into three classes of net assets--unrestricted, temporarily restricted, and permanently restricted--based on the existence of explicit or implicit donor-imposed restrictions. A $1,000 gift received "for buying art books," for example, would be a temporarily restricted gift in that the donor-imposed restriction (use the $$$ for art books) can be satisfied by an action of the organization (buy the art books). If there are two gifts, one temporarily restricted and the other unrestricted, Statement 116 generally requires that an organization treat an expense as if it first satisfies a donor-imposed restriction, according to material I have. This would suggest that the memorial funds, etc., are to be used before general materials funds. Krieger (Gettysburg College) Subject: Water-damaged CDs We've experienced a very localized flood here in Gettysburg 2 weeks ago and suffered some major wetness to some portions of our audio-visual media collection (among other things). Many things we will have to replace out-right. I have been asked to pose this question to readers of ACQNET (though I suspect I know what the answer will be) : does anyone have a source or solution for replacing liner notes & accompanying booklets for music recordings on compact disc? The discs themselves can be cleaned, but we're left with hundreds of wrinkled and stained liner notes / booklets & we'd rather not replace everything. Has anyone else had to deal with this problem and has some wisdom to impart?? Thanks for any assistance! Lee A.
