Does anybody out there have any ideas of other suppliers who may be able to provide me with such things? Our older paper holdings are falling to pieces (technically known as being in a poor state of preservation) and we have some money to spend on this area. Of course machine readable stats. would be even better. Any ideas on that? (2)---------------------------------------------------------------------------- Date: Mon, 08 Feb 93 11:39:01 -0500 From: Lynne Altstatt (University of Pennsylvania) Subject: Minutes of the NOTIS Acquisitions SIG meeting at Midwinter The NOTIS Acquisitions Special Interest Group met on January 26th during the American Library Association's Midwinter conference. The Chair, Lynne Altstatt, announced that NUGM 93 will be from noon October 14th to noon October 16th at the Palmer House in Chicago. She described the programs that the Acquisitions SIG is planning as follows: 1. The SIG business meeting. 2. "Ask the Experts" (This is a joint meeting with the Serials SIG.) Laura Sill from Notre Dame is moderating this program. 3. "Providing Financial Data Using NOFA" Lynne Altstatt is moderating this program. 4. "Electronic Interfaces With Vendors" (This is a joint meeting with the Serials SIG.) Rosann Bazirjian from Syracuse is moderating this meeting. 5. "The Ideal Acquisitions System" Nancy Boggess-Korekach is moderating this program. She also explained that, in response to NOTIS developing the UNIX- based OTIS, the Acquisitions and Serials SIGS were going to form a joint task force to provide NOTIS input in the development of the acquisitions/serials portion of the system. As a beginning acquisitions/serials will be divided into approximately eight areas of concern. If anyone is interested in working on either the Acquisitions SIG programs for NUGM or serving as a member of the task force to provide NOTIS with input for the development of OTIS please contact Lynne Altstatt at Van Pelt Library, Acquisitions Department, University of Pennsylvania, 3420 Walnut, Philadelphia, PA 19104-6276. PHONE: (215) 898- 5932/INTERNET: altstatt@a1.relay.upenn.edu/FAX:(215) 8980559. The Chair explained that no one implemented the Quik Reports in time to discuss them at the SIG meeting. She had contacted a number of institutions which will be implementing these reports and promised a Quik Reports review at the annual meeting. The possibility of changing the meeting time for the SIG meetings at ALA because of the change in scheduling the Acquisitions Tuesday morning meetings was discussed. It was decided to leave the meeting time as it is and revisit the issue at our next meeting in the Summer. The next topic on the agenda was a question of whether or not the Acquisitions SIG felt that NOTIS should conduct an enhancement ballot in 1993. The Chair stated that in all of the preceding SIG meetings, such as the Cataloging/Authorities, Lib 1, and Serial groups, it had been determined that an enhancement ballot was not necessary in 1993. She also explained that the Lib 1 SIG had suggested the concept of a User's Council to substitute for the enhancement ballot. Following discussion of both the flaws in the enhancement process as it currently stands and the concept of a User's Council the group did recommend that an enhancement ballot was not necessary in 1993. Helen Gbala of NOTIS discussed the future direction of NOTIS. She described the new UNIX-based client/server configuration that NOTIS is using to develop a more-flexible, less-expensive system. She stated that NOTIS needed to have the Acquisitions and Serials SIGs to work together to determine future changes to the system. In response to a question from the audience Ms. Gbala responded that no decision had been reached about a commitment from NOTIS to do parallel enhancements on both the LMS and UNIX-based systems. Joyce McDonough announced that NOTIS was going to provide both the Chairs of the Acquisitions and Serials SIGs with a log of the problems submitted by users. She felt this was important because fixing a problem for one user group may cause problems for another user group. Also there have been instances where problems were fixed without notifying the users. Hopefully having the problem logs coordinated by the SIGs will make fixes more public both before and after execution. The following problems were discussed: Invoices with phantom entries that will not allow you to approve the invoice. Invoices with too many statements to approve. Funds that would not turnover in the fiscal year rollover. Payments vouchered not adding up to fund balances. Invoices that are approved twice and two vouchers are produced from one invoice. Credits causing a discrepancy on the fund record between the amount listed on the expended YTD field and the sum of the expenditures broken down by the class expenditure code. Is it possible to have a double decommitment? When a change is made in the currency conversion it is not displayed in the displayed amount.
