In all the examples mentioned, assume that the library needs only one copy of the book in question. Assume also that the processing cost or cost of the item is irrelevant to this discussion. CASE A: Your library has an approval plan for US imprints with a major vendor. You have received a usual shipment of approval books and are processing them (the invoice is not yet paid and all items are still in hand). A gift comes in that duplicates one of the titles just received on approval. Assuming that the title is appropriate for the collection, would you return the approval book to the vendor and keep the gift? CASE B: Substitute firm order receipt for approval plan receipt above. Would you return the firm order title and keep the gift? CASE C: In this case, the approval plan copy has been received, paid for, and sent to cataloging. Would you try to retrieve the approval plan copy and return it to the vendor? Alternatively, would you send the gift copy back to the vendor? CASE D: Same for firm order book. CASE E: The approval copy has not only been received and paid for, but cataloged and marked as well. Would you return the gift copy to the vendor? CASE F: The firm order copy has been cataloged and marked. Would you return the gift copy to the vendor? Please defend your actions. Very few slips arrive unbidden. When you set up a slip program with a vendor, you implied that you would use the slips to create purchases. These are not catalogs that arrive unbidden, in multiple copies and from vendors you have never heard of, nor would ever dream of doing business with. This is an arrangement, in most cases, that you chose to set up, with parameters set by you, and with a discount set by you and the vendor in mutual agreement. If you consistently receive slips from a vendor and the slips are inappropriate, then change the profile. If the slips are great but the discount is poor, renegotiate the discount. I suspect most vendors would rather negotiate to have you purchase from their slips, than send slips that result in sales to a competitor. Naturally, there will always be "deals" that are better direct than with vendors, but on the whole, consistent- ly getting slips from one and using them to place orders with another is not something I could condone. Naturally, your first obligation is to your library. A part of that obligation is negotiating discounts AND SERVICES. If you are unhappy with your vendor, discuss it with your vendor. Most vendors are flexible.
