Collection Management Associate (Acquisitions Manager)
Timberland Regional Library - Olympia, WA

Timberland Regional Library is a rural library district serving 5 counties
and 7000 square miles in beautiful western Washington. We are seeking an
energetic, public service oriented person to manage the Acquisitions
department in our Olympia, WA Service Center. You will handle a $2.2
million resources budget and additional gift funds for the district.
Ongoing department work involves using Dynix Acquisitions module for
ordering, receiving, invoicing, and payment for a variety of resources
and formats, plus centralized handling of periodical subscriptions.
Requires ability to work with a wide variety of staff and vendors. MLS
preferred plus 3 years acquisitions-type experience.

Position:
Collection Management Associate (Acquisitions Manager)
Service Center – Olympia, WA Grade 41 – 40 hours per week - 1.0 FTE.
Some evening and weekend hours may be required.
General Statement of Duties:
Manages acquisition of library materials; does related work as required.
Distinguishing Features of the Class:
This is responsible administrative and supervisory work involving
responsibility for the planning, development, organization and
implementation of materials acquisition for the library in accordance
with established and evolving general policies and procedures. The work
is performed under the general supervision of the Collection Manager, and
considerable leeway is granted for the exercise of independent initiative
and judgment. Supervision is exercised over the work of the library’s
acquisitions staff, including employees in the classes of Collection
Management Assistants I, II, and III, and Collection Processor, as
appropriate.
Essential Duties:
* Supervises and coordinates the overall functions and operations of the
library’s materials acquisitions process, coordinating and directing
ordering, receiving, invoicing, and payment of print and non-print
library items for more than 55 materials accounts;
* Monitors the status of materials fund accounts, preparing and
distributing frequent status reports indicating significant changes and
recommending corrective action as appropriate;
* Verifies and enters materials orders into the on-line acquisitions
system via the computer;
* Communicates directly with vendors to ensure optimum services and
discounts for the library;
* Maintains and updates information in the Standing Order process;
Assigns, schedules, supervises and evaluates the work of the
acquisitions staff;
* Maintains a good workflow by establishing routines, developing new or
improved methods and procedures and solving problems;
* Works closely with other department supervisory personnel to ensure
efficient and cost-effective operations;
* Supervises the maintenance of recurring cumulative records, compiles
data and prepares summary reports as necessary.
Required Knowledge, Skills and Abilities:
Comprehensive knowledge of in-house, national and international library
acquisitions; thorough knowledge of automated acquisition and bibliographic
databases and the use of systems such as Dynix, OCLC, EBSCO and Internet;
thorough knowledge of verification tools and searching methods and
procedures; good knowledge of library circulation systems; good knowledge
of current trends and developments in acquisition policies, practices and
standards; good knowledge of current documentation for acquisition
databases, applications and upgrades; some knowledge in business arithmetic
and English composition; skill in the use of computers and computer
applications relating to library acquisitions and spreadsheets including
the use of on-line databases and standard file transfer protocols, with
accuracy and attention to detail; ability to develop, organize and implement
work plans for complex technical operations; ability to follow detailed
and complex oral and written instructions; ability to provide oral and
written instructions in a clear and concise manner for assigned staff
members; ability to motivate, train, organize, prioritize, supervise and
evaluate the work of others; ability to exercise discipline and chart ways
and means by which the work of assigned staff members can be improved;
ability to communicate and to develop and maintain effective working
relationships with other members of the library staff, representatives of
other libraries and the general public; ability to travel to another
Timberland Library location for work; and ability to handle and move
library materials from one location in the library to another.
Acceptable Experience and Training:
Possession of a Bachelor’s Degree from a college or university of
recognized standing, some experience in library acquisitions at the level
of Collection Management Assistant II or III; or any equivalent combination
of experience and training which provides the required knowledge, skill and
abilities. MLS preferred.
